Provider billing information

If a provider bills insurance or will be generating superbills, it is necessary that they set up their provider billing info. It's important to have your billing information on file for the purpose of processing claims. 

Each provider in the clinic needs to add their billing information. 


Here's how to input provider billing information: 

1) Navigate to the profile icon in the top right corner and select Clinic settings and then the Users tab. 

 

2) Locate the provider whose billing information you're inputting and click Billing. 

 

3) Enter billing profile details (specific to that provider). See below for a breakdown of each field! 

 

Default billing information

  • NPI Number: a 10 digit number that is the Type 1 (rendering) NPI for the provider. 
    • THE NPI YOU ENTER HERE INTO YOUR PROVIDER BILLING INFO POPULATES INTO BOX 24J OF THE CLAIM FORM.

  • Taxonomy code: identifies the provider's specialty.
  • Tax ID type: will either be SSN (social security number) or EIN (employee identification number). 
  • Tax ID: is your 9 digit SSN or EIN. 
  • Default billing profile is the billing profile that automatically applies to all transactions associated with a provider. This information populates Box 33 on the claim form
    • If your clinic bills under multiple profiles (e.g., group NPI vs. individual NPI), select the profile you use most frequently as your default.
    • For situations where you bill under a different profile for specific payors, refer to the next section for instructions on assigning payor-specific billing profiles.
 
 

Assigning Payor-Specific Billing Profiles

If you bill under a different billing profile for specific payors (e.g., group NPI vs. individual NPI), you can set up those payor-specific billing profile rules here.

Click Add Override

 

Enter the billing profile and payor for which you'd like to create a payor-specific billing profile rule.

In the example below, all claims for this provider will bill under the Premier Rehab profile (and associated NPI/Tax ID), except for Aetna claims, which will bill under the Timothy Bertelsman profile.

 
 

Encounter and Billing supervision

If you have an intern or anyone in your clinic rendering services that require supervision, you will set up supervision from the intern's (rendering provider's) billing details. 

  • Billing Supervision:  When a Billing Supervising Provider is assigned, all billing is processed under their name. They will appear as the provider on related purchases, invoices, superbills, and claims. The supervising provider's NPI will populate Box 24j on the claim.
  • Encounter Supervision: When an Encounter Supervising provider is assigned, the Supervising Provider is listed as the provider on any encounters that require supervision for the rendering provider. The Supervising provider will sign all SOAP notes. 
 
 

Provider licenses & Provider commercial number

Provider licenses:

  • Enter your license type, number, state, and expiration date. 
  • Use the +Add button to add additional licenses if necessary! 
  • License information will populate on patient invoices associated with the provider. 

Provider commercial number:

  • A provider commercial is a unique identifier assigned to a healthcare provider by commercial insurance companies. It is used for billing and administrative purposes— enabling the insurance companies to accurately process claims and track services. 
  • However, most insurance companies just require the NPI number.  Currently in ChiroUp EHR, this field is an optional field used for storing this information (your NPI number will populate on claims as required from insurance companies).
