In addition to requesting insurance policy information through the insurance survey, staff can also easily add an insurance policy to a patient's record manually.
Here's how to add a patient's insurance policy to their record:
1. Navigate to the patient record and select the Insurance tab. To add a new policy, click the + icon.

3. Enter all pertinent policy details— including payor name, Member ID Number, Insurance Type, and Primary Insured. You can also upload images of the insurance card (png, jpg, and gif.)
*Note: Don't see a payor on the list? Make sure you've added the payor to your Payors database first!

4. If you would like this insurance policy to automatically apply to all patient purchases (visits), then make sure Auto-Apply preference is toggled ON.

💡 Pro Tip
Only need the insurance policy to auto-apply in certain scenarios? You can configure the policy to auto-apply to purchases depending on the provider and/or treatment (appointment) type.

Now, let's enter benefit information.
5. Enter relevant benefit details (policy end date, policy maximum, annual deductible, and remaining deductible).
- Note: the Remaining deductible does not auto-subtract as the deductible is used. It is advised to verify the correct remaining deductible amount each visit.
6. Check or uncheck the following boxes (accept assignment, signature on file, and release of patient information). These boxes will default to either be checked or unchecked depending on your claim controls settings.
7. Enter discipline-specific benefits like co-pay or co-insurance, click the Add Benefit and select the discipline.

8. Open up the benefit drop down and enter any pertinent information.
Pro-Tip: The coinsurance percentage is the percentage that the patient is responsible for!

9. Remember to hit Save!
Add insurance benefit information, including Policy End Date, Policy Maximum, Annual Deductible, and Remaining Deductible.
To add discipline-specific benefits (like co-pay and co-insurance), click Add Benefit, select the discipline, and enter benefit details.
